We are seeking a self-motivated, well organized, resourceful, and exceptionally bright Executive Assistant with a history of high performance to support a C-level executive and their VP directs. 
This role requires superior attention to detail, great organization and prioritization skills, the ability to plan ahead and meet tight deadlines, all while juggling multiple, timely requests. A high level of integrity and discretion in handling confidential information and professionalism in dealing with leaders and the ability to earn trust are important. This role reports to the Manager of Corporate Services, under the HR org.  The Executive Assistant will ramp quickly in a fast-paced, goal-focused environment, while maintaining great flexibility, a sense of humor and composure.

What you'll do:

  • Effec­tive­ly man­age a C‑level executive’s office.
  • Part­ner close­ly with the CEO’s office and oth­er C‑level exec­u­tives’ offices.
  • Effi­cient and accu­rate man­age­ment of com­plex cal­en­dar and scheduling.
  • Trav­el man­age­ment for exec­u­tives and group lodg­ing as needed.
  • Man­age expense reporting.
  • Orga­nize, pri­or­i­tize and appro­pri­ate­ly han­dle time-sen­si­tive, con­fi­den­tial infor­ma­tion and ensure action required is addressed in a time­ly manner.
  • Orga­nize, exe­cute, and assist with team activ­i­ties (staff meet­ing agen­das, all-hands meet­ings, lead­er­ship off-sites, org Sum­mits and team social events).
  • Track and help dri­ve com­ple­tion of key actions, projects, and fol­low-up on out­stand­ing items.
  • Act as a liai­son for lead­er­ship direct reports, skip-lev­els and over­all org.
  • Doc­u­ment writ­ing, edit­ing, and readiness.
  • Up to 15% trav­el required. 

Does this sound like you?

  • 10+ years of expe­ri­ence assist­ing at the exec­u­tive level.
  • His­to­ry of man­ag­ing mul­ti­ple com­plex cal­en­dars and sched­ul­ing with diplo­ma­cy and discretion.
  • Pro­fi­cien­cy in G Suite.
  • 5+ years of expe­ri­ence man­ag­ing suc­cess­ful internal/​external meet­ings and events.

  • His­to­ry of part­ner­ing with oth­er admin­is­tra­tive and cross-func­tion­al team members.
  • A strong apti­tude for learn­ing; is curi­ous and asks effec­tive questions.
  • Abil­i­ty to con­sis­tent­ly exer­cise good judgment.
  • Have fun and help oth­ers do the same.
  • Impec­ca­ble atten­tion to detail.
  • Strong orga­ni­za­tion­al and com­mu­ni­ca­tion skills.
  • Abil­i­ty to build effec­tive work­ing rela­tion­ships and earn trust.
